Notre Dame Research eRA Project Phases

The Electronic Research Administration (eRA) project will follow a structured approach to ensure success from evaluation to implementation. While each of these phases is essential, they may be grouped or combined in the final project plan.

Phase 1: Project Start-Up

Completed in December 2024

Phase 2: Current State Assessment

Completed in April 2025

Phase 3: Future State Definition

Concurrent with Phase 2, completed in April 2025

Phase 4: RFP Development, Evaluation, and Selection

Completed in December 2025

Phase 5: Alignment & Planning — Current

  • Alignment activities with the proposed vendor, including implementation scope.

  • Assemble implementation teams and prepare for project transition.

  • Negotiate and execute an implementation contract.

  • Develop a detailed implementation roadmap.

  • Align new project phases with the vendor’s implementation strategy.

  • Update Project Charter and other key project documents

  • Confirm Implementation Roles and Responsibilities

  • Hire/onboard backfill positions

Phase 6: Implementation & Delivery

  • Build the new system module-by-module

  • Training, team alignment, support documentation, and engagement.

  • Launch the new system into regular operations across teams.

March: Internal Go-Live Scope Alignment

April: Alignment with Vendor on Scope and Technical components

May: Receive Completed Alignment Deliverables

June: Finalize contract negotiations

July: Begin Implementation Planning Phase
